Program Coordinator II – Document Control

LOCATION

San Diego, California. Candidate must currently live in the greater San Diego County region or be willing to relocate within the first 60 days of hire.

CANDIDATE

Seeking a high-energy, detail oriented, safety focused Program Coordinator to be part of an established professional services team providing program management services to investor owned gas and electric utilities. We provide clients with overall program management of complex system protection deployments in electrical transmission and distribution substations and circuits. Successful candidate will have excellent verbal and written communication skills across all levels of the business environment including engineering, construction, and executive teams. Ideal candidate will have 5+ years previous experience working in a regulated utility or regulated project environment.

OVERVIEW

Successful program coordinator candidate will be a key member of a dynamic team providing accurate and auditable document control support to electric T&D programs. Facilitate cross-functional cooperation between dependent tasks and projects, identify risks/issues, develop mitigation solutions. Responsible for administrative and operational project document control assignments involving detailed planning and tracking of design documents, budget reports, procurement requests/invoices, file management, and process improvement tasks. Position involves office and field deliverable activities, including entering utility construction results/artifacts into a document management system. Focus and commitment to safety is paramount.

SUPERVISION LEVEL

Reports to Program Manager, Project Manager or Team Lead. Work is highly collaborative in nature

TYPICAL DUTIES & RESPONSIBILITIES

  • Manages and administrates document control system(s)
  • Uploads, classifies and verifies utility construction related documents and artifacts
  • Reviews and updates document management process documents
  • Audits document naming standards, ensures completeness and correctness
  • Identifies and raises issues and risks, recommends actions required to resolve
  • Attends meetings, creates and distributes minutes, tracks action items and deliverable follow-ups
  • Collects and analyzes project data, prepares project progress reports
  • May review, code and submit for approval monthly vendor invoices

EXPERIENCE & QUALIFICATIONS

A combination of experience, education, and/or training which substantially demonstrates the following knowledge, skills, and abilities:

  • 5+ years previous experience working in a regulated utility or regulated project environment
  • Proficient in the principles and practices of project document control management
  • Safe working practices, codes, and regulations as applicable to the assigned projects
  • Research methods, including data collection and analysis
  • Advanced knowledge of MS Office suite such as Word, Excel, PowerPoint, Access and OneNote
  • Established track record with proven ability to work within a fast-paced corporate environment
  • Experience documenting utility construction work steps; historizing, logging, and curating construction artifacts; and providing input on document management processes and procedures
  • Valid driver’s license

EDUCATION & TRAINING

  • Bachelor’s degree in Project or Business Management ideal. Bachelor’s degree in Electrical, Mechanical or another field acceptable with customer approval
  • In lieu of Bachelor’s degree at least two years of significant project management experience 2-3 years’ experience providing direct project coordination support to Program or Project Managers
  • Active CAPM or Six-Sigma green belt certification desired

SOFT SKILLS

  • Excellent verbal and written communication, demonstrated testing expected prior to engagement
  • Demonstrated interpersonal skills in day-to-day and under-pressure
  • Ability to influence others and convey complex project and program deliverables in a concise manner across multiple teams and all levels of management
  • Detail oriented with excellent organizational, planning and follow-up skills
